Privacy Policy for Registration for Orientation Week

This privacy policy provides information pursuant to Article 13 of the General Data Protection Regulation (GDPR) on the processing of personal data in connection with registration, administration, and implementation of the Orientation Week organized by the Student Council for Behavioural and Social Sciences at Chemnitz University of Technology.

3. Data Processed

In the context of registration for and implementation of Orientation Week, the following data in particular may be processed:

  • Name
  • Date of birth
  • Email address
  • Degree program
  • Selected events and tours
  • Dietary information, where required for events with catering
  • Voluntary information in the comment field, e.g. organizational notes, special requests, accessibility information, or feedback
  • Technical log data, insofar as it is processed by the systems of Chemnitz University of Technology when the website is accessed

4. Purposes of Processing

The data is processed for the following purposes:

  • Receiving and managing registrations for Orientation Week
  • Planning, organizing, and carrying out Orientation Week events
  • Capacity planning for events and tours
  • Contacting participants in connection with registration and the implementation of Orientation Week
  • Taking dietary information into account for events with food
  • Taking voluntary organizational notes into account, especially regarding accessibility or support needs
  • Documentation, accounting, and statistical evaluation of Orientation Week in anonymized or aggregated form
  • Sending study- and university-related information, provided that separate consent has been given or a corresponding communication purpose exists within the context of Orientation Week

5. Legal Bases

The legal basis for processing personal data for the organization and implementation of Orientation Week is Article 6 paragraph 1 letter e GDPR, insofar as the processing is necessary for the performance of tasks of the university or student self-administration.

Where data is processed on the basis of voluntary information or consent, Article 6 paragraph 1 letter a GDPR is the legal basis. Consent that has been given may be withdrawn at any time with effect for the future.

Where processing is necessary to fulfill legal obligations, in particular in connection with documentation, proof, or accounting, Article 6 paragraph 1 letter c GDPR is the legal basis.

6. Special Categories of Personal Data

The registration form is not designed to collect special categories of personal data within the meaning of Article 9 paragraph 1 GDPR. However, voluntary information may be provided in the comment field from which, for example, health data, information about a disability, or support needs may be inferred. Such information is voluntary and should only be provided if it is necessary for the organization or accessible implementation of Orientation Week.

Such voluntary information is processed exclusively for the purpose of taking it into account during Orientation Week, on the basis of Article 9 paragraph 2 letter a GDPR in conjunction with Article 6 paragraph 1 letter a GDPR.

7. Recipients and Access

Access to registration data is granted only to persons entrusted with the organization and implementation of Orientation Week, in particular authorized members of the Student Council for Behavioural and Social Sciences and the organizing team.

The technical provision of the website and database takes place within the systems of Chemnitz University of Technology. Personal data is generally not passed on to third parties. Only anonymized or aggregated information is transmitted to other bodies, e.g. other student councils, the Student Council, or the faculty, insofar as this is necessary for documentation, financing, accounting, or planning.

8. Storage Period and Deletion

Personal registration data is stored only as long as it is necessary for the organization, implementation, follow-up, documentation, and accounting of Orientation Week. It will be deleted no later than two years after the end of the respective Orientation Week, unless statutory retention obligations or legitimate documentation purposes prevent deletion.

Anonymized or aggregated statistics, particularly on participant numbers, degree programs, event occupancy, and catering requirements, may be stored for up to ten years. These statistics do not allow conclusions to be drawn about individual persons.

If separate consent has been given to receive further information or to be added to a mailing list, the contact data required for this purpose will be stored until consent is withdrawn, the person unsubscribes, or the purpose ceases to apply.

9. Obligation to Provide Data

The provision of the data marked as required in the form is necessary in order to process registration for Orientation Week and to organize participation. Without this information, registration is generally not possible. Voluntary information, especially in the comment field, is not required and may be omitted.

10. Rights of Data Subjects

Data subjects have the following rights in particular under the GDPR:

  • Right of access under Article 15 GDPR
  • Right to rectification under Article 16 GDPR
  • Right to erasure under Article 17 GDPR
  • Right to restriction of processing under Article 18 GDPR
  • Right to data portability under Article 20 GDPR, where the requirements are met
  • Right to object under Article 21 GDPR
  • Right to withdraw consent under Article 7 paragraph 3 GDPR with effect for the future

11. Right to Lodge a Complaint with a Supervisory Authority

12. Updates to this Privacy Policy

This privacy policy may be amended if data processing in connection with Orientation Week or the legal requirements change.
