"Digitization Roadmap" for Chemnitz University of Technology Takes Shape

Uwe Weigel has taken over the management of the new department of Organization and Digitization in the Central University Administration - the first major project is the establishment of a document management system

This year, Chemnitz University of Technology has a new department within the Department of Planning, Organization, and Central Affairs: the Department 4.2. - Organization and Digitization. It has been headed by Uwe Weigel since May. "Our department, which will be established as a small team over the course of this year, sees itself as a caretaker for the qualification and digitization of university administrative processes. In order to streamline processes appropriately as well as in compliance with the law, they themselves and the goals of those involved must be well understood and coordinated," says Weigel. To do this, he said, it is necessary to be able to speak several "languages" in order to be able to develop holistic, universally accepted, and practical solutions from the different perspectives of, among others, university management, the university computer centre, stakeholders and end users in the faculties, central institutions, and in the university administration.

The spectrum of the new department's tasks is broad and ranges from the recording, modeling, and structuring of university administrative processes on a process platform to topics from requirements, project, test, and knowledge management to their digitalization. "As a first step, we will define the requirements for what is known as an enterprise content management system, often also referred to as a document management system, and launch the tender for a suitable solution," says Weigel. These systems will be used to digitize previously paper-based processes and to manage and archive electronically managed files both legally and securely.

The new department head is aware that not every request for digitization can be fulfilled promptly at the university. "Nevertheless, we would very much like to look at every suggestion, discuss it with those involved and, if necessary, incorporate it into our digitization roadmap," says Weigel. Anyone who would like to contribute suggestions here is welcome to send an e-mail to digitalisierung@verwaltung.tu-chemnitz.de or open a corresponding ticket in the university's OTRS (Open Ticket Request System).
